All Care Animal Clinic is seeking a friendly, dependable, and organized front desk receptionist to join our team. This position is ideal for someone who enjoys helping people, working with animals, and providing excellent customer service in a fast-paced veterinary environment.
Duties and Responsibilities
- Greet clients and patients in a friendly, professional manner.
- Answer incoming phone calls, text messages, and emails promptly.
- Schedule appointments, surgeries, dental procedures, and follow-up visits.
- Confirm upcoming appointments and contact clients regarding schedule changes.
- Check clients and patients in and out of the clinic.
- Collect payments, prepare estimates, and review invoices with clients.
- Maintain accurate client and patient information in the practice management system.
- Obtain medical records from other veterinary hospitals and send records when requested.
- Process prescription and food refill requests according to clinic procedures.
- Communicate client questions and patient concerns clearly to the veterinary team.
- Provide clients with approved information regarding clinic services, medications, treatment plans, and follow-up instructions.
- Assist with coordinating laboratory testing, diagnostic imaging, specialist referrals, and pharmacy requests.
- Monitor the appointment schedule and communicate delays or urgent situations to clients and staff.
- Maintain confidentiality of client and patient information.
- Keep the reception area clean, organized, and welcoming.
- Assist with filing, scanning, faxing, payment processing, and other administrative duties.
- Handle difficult or emotional situations with patience, empathy, and professionalism.
- Support veterinarians, technicians, and other team members as needed.
- Follow all clinic policies, safety procedures, and customer-service standards.
- Assist with cleaning and sanitization procedures
Qualifications
- Previous receptionist, customer-service, or veterinary experience is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Comfortable using computers, email, phone systems, and office equipment.
- Ability to remain calm and professional during busy or stressful situations.
- Dependable, punctual, and able to work well as part of a team.
- Compassionate and respectful toward clients and their pets.
- Ability to discuss payments and treatment estimates professionally.
- Willingness to learn veterinary terminology and clinic procedures.
Position Requirements
- Ability to sit or stand for extended periods.
- Ability to work in an environment with dogs, cats, animal hair, odors, and occasional noise.
- Availability to work assigned weekdays and Saturdays as needed.
- Reliable transportation and consistent attendance are required.
